Paste Special Divide in Excel 2007

For the operation Divide in the Paste Special section, we will consider an example where 8 employees with their salaries are provided in the figure at the right. The company decides to deduct 10% salary from all the employees.
The salary of Alice after 10% deduction will be $2,070. This is obtained by multiplying 0.9 times Alice salary or dividing the salary of Alice by 1.1111111. Since we are dealing with the Divide operation, we will divide the salary of Alice by 1.1111111. Aaron will get $3,780 and so on.
To achieve this, you will do the manual operation of dividing the salary of each employee with 1.1111111 and then the calculated number will be re-entered in the current salary cells. Suppose, there are thousands of employees then it will be a tedious job to divide the salary 1.1111111 times and then replacing it in the current salary cells. The simplest way to do is using the Divide operation provided in the Paste Special.

Perform the following to deduct the salary by 10% from all the employees:
1. Click cell B11 (this cell contains the value 1.1111111) and click Copy or press CTRL + C.
2. Click cell B2 and press the SHIFT key. Keeping the SHIFT key in the pressed state, click cell B9. This will select the salaries of all the employees.
3. On the Home tab, in the Clipboard group, click the down arrow in the Paste command and click Paste Special...

4. In the Paste Special dialog box, under Operation, click Divide and click OK.
You will see a 10% deduction from all the employees.

Paste Special Multiply in Excel 2007

For the operation Multiply in the Paste Special section, we will consider an example where 8 employees with their salaries are provided in the figure at the right. The company decides to provide a hike of 15% to all the employees.
The salary of Alice after 15% hike will be 1.15 times the current salary, which is $2,645. Aaron will get $4,830 and so on.
To achieve this, you will do the manual operation of multiplying the salary of each employee with 1.15 and then the calculated number will be re-entered in the current salaryy cells. Suppose, there are thousands of employees then it will be a tedious job to multiply the salary 1.15 times and then replacing it in the current salary cells. The simplest way to do is using the Multiply operation.

Perform the following to increment the salary by 15% to all the employees:
1. Click cell B11 (this cell contains the value 1.15) and click Copy or press CTRL + C.
2. Click cell B2 and press the SHIFT key. Keeping the SHIFT key in the pressed state, click cell B9. This will select the salaries of all the employees.
3. On the Home tab, in the Clipboard group, click the down arrow in the Paste command and click Paste Special...

4. In the Paste Special dialog box, under Operation, click Multiply and click OK.
You will see that a 15% hike is provided to all the employees.

Paste Special Subtract in Excel 2007

For the operation Subtract in the Paste Special section, we will consider an example where 8 employees with their salaries are provided in the figure at the right. The company decides to deduct $100 from all the employees.
The salary of Alice after deduction will be $2,200, for Aaron $4,100 and so on.
To achieve this, you will enter 2200 directly in cell B2, 4100 in cell B3 and so on. Suppose, there are 2000 employees then it will be a tedious job to do. The simplest way to do is using the Subtract operation provided in the Paste Special.

Perform the following to deduct $100 from all the employees:
1. Click cell B11 (this cell contains the value $100.00) and click Copy or press CTRL + C.
2. Click cell B2 and press the SHIFT key. Keeping the SHIFT key in the pressed state, click cell B9. This will select the salaries of all the employees.
3. On the Home tab, in the Clipboard group, click the down arrow in the Paste command and click Paste Special...

4. In the Paste Special dialog box, under Operation, click Subtract and click OK.
You will see that $100 is deducted from all the employees.

Paste Special Add in Excel 2007

The operation Add will add the copied data with the destination cells. For operation Add in the Paste Special section, we will consider an example where 8 employees with their salaries are provided in the figure at the right. The company decides to provide a hike of $500 for all the employees.
The salary of Alice after the hike will be $2800, for Aaron $4700, and so on.
To achieve this, you will enter $2800 directly in cell B2, $4700 in cell B3 and so on. Suppose, there are hundreds or thousands of employees then it will be a tedious job to do. The simplest way to do is by using the Add operation provided in the Paste Special.

Perform the following to add $500 to all the employees:
1. Click cell B11 (this cell contains the value $500.00) and click Copy or press CTRL + C.
2. Click cell B2 and press the SHIFT key. Keeping the SHIFT key in the pressed state, click cell B9. This will select the salaries of all the employees.
3. On the Home tab, in the Clipboard group, click the down arrow in the Paste command and click Paste Special...

4. In the Paste Special dialog box, under Operation, click Add and click OK.
You will see that $500 is added to all the employees.

Copy comments to other cells in Excel 2007

You add a comment in a particular cell and want the same comment to appear in multiple cells. You can copy the contents of the cell that has the comment and during the paste time you have to choose the option of pasting the comments. Performing the following steps to paste comments:
1. Click a cell that has the comment and press Ctrl + C or from the Home tab, click Copy from the Clipboard group.
2. Click the cell that needs the comment to be pasted and then press Ctrl + Alt + V or from the Home tab, click the arrow mark that is present in Paste and click Paste Special...
3. From the Paste Special dialog box that opens, click Comments.
4. Click OK.
Ctrl + Alt + V (Ctrl Alt V) is the keyboard shortcut to open the Paste Special dialog box.
